ARIZONA MAJOR EVENTS HOST COMMITTEE
Position Description

Opportunity:

The Arizona Major Events Host Committee (“AMEHC”) is responsible for planning and executing a successful Men’s Final Four in 2024. Guiding principles of the AMEHC create a framework for achieving success and maximizing the positive impacts on Arizona communities:

  1. Showcase Arizona on a Global Platform
  2. Fuel economic engine for the Region
  3. Leave a positive legacy for the State

The AMEHC works in partnership with the NCAA and local & national stakeholders to create a positive experience for all attendees, Arizona residents, local businesses, the hospitality community, credentialed media, visitors to Arizona, local and national sponsors as well as participating players, and team personnel.

Responsibilities:

  • Work collaboratively to create compelling events to drive excitement and interest from partners.
  • Assist with the planning and production of all AMEHC events:
    • Develop and execute creative and operational plans for traditional AMEHC events and special events as identified
    • Identify ideal vendors for specific needs and negotiate discounts and partnerships for in-kind when possible
    • Work with Partnerships team to ensure all activation needs are met
    • Work with Marketing to ensure AMEHC branding and messaging is consistent
    • Identify Volunteer needs for all events and work with SR team to fill all roles
    • Work with Operations team to ensure adequate parking, security and safety concerns are met
  • Expected AMEHC events may include, but are not limited to:
    • Monthly NCAA site visits, including dinners and networking opportunities
    • Locker Room Event
    • Media Party
    • March Madness Music Fest VIP
    • VIP Tailgate Party (Saturday and Monday)
    • Partner Thank You Party or House
  • Work with Events team to identify venues for AMEHC events to ensure management of expenses, and allow for partnership and lower expense opportunities.
  • Assist in communications with stakeholders and NCAA partners to identify venue opportunities for events and make connections for all groups.
  • Maintain event department inventory
    • A-Frame Signage, Step and Repeats, etc.
  • Help maintain master event calendar and event related information for posting on website.
  • Assist Events teammates to prepare and deliver thorough post-event recap reports to CEO by 4/30/24.
  • Other duties and responsibilities as assigned by leadership.

The Arizona Major Events Host Committee (“Committee”) is responsible for planning and executing a successful Men’s Final Four in 2024. Guiding principles of the Committee create a framework for achieving success and maximizing the positive impacts on Arizona communities:

  1. Showcase Arizona on a Global Platform

  3. Leave a positive legacy for the State

The Committee works in partnership with the NCAA and local & national stakeholders to create a positive experience for: all attendees, Arizona residents, local businesses, the hospitality community, credentialed media, visitors to Arizona, local and national sponsors as well as participating players and team personnel.

Responsibilities:

  • Drive development of sales plan to achieve revenue and expense targets.
  • Manage a go-to-market strategy for partnership sales and activation.
  • Manage compelling asset list and rate card to achieve revenue and expense targets.
  • Oversee specific aspects of sales, activation, and fulfillment.
  • Collaborate with Committee staff across disciplines to successfully achieve the following:
    • Create customized packages that effectively combine marketing, promotions, events, digital and traditional media, and hospitality assets.
    • Create cross-disciplinary assets, e.g., trade media bank, CEO Forum, Business Connect Program, etc.
    • Manage and deliver fully integrated partnerships.
  • Develop, manage, and maintain relationships with a multitude of Arizona businesses, Native American Communities, as well as local media partners, national broadcast partners, and national NCAA partners.
  • Collaborate with Committee staff and marketing agency to craft exciting and on-brand sales proposal templates and presentation elements.
    • Prepare all sponsorship and hospitality proposals & presentations.
  • Work closely with NCAA team on deals, assets, contracts, and protected categories.
  • Contribute to a sales and service culture agenda to help the organization achieve financial and cultural success.
  • Manage the 2024 Men’s Final Four game ticket inventory and seat assignments, and secure distribution of game tickets and other hospitality assets.
  • Manage coordination (i.e. build-out, staffing, décor, etc.) for unique premium hospitality assets such as Party Lounges and Club Cabanas.
  • Provide weekly metrics and dashboard on sponsorship business, e.g. revenue & expense projections.
  • Maintain database of partners and prospects with contact information, contact history, deal points, activation cost estimates, margin, etc.
    • Create a detailed single database for tracking all revenue, assets, deliverables, reporting elements, etc.
  • Prepare and deliver thorough post-event recap reports to leadership and Partners by April 30, 2024.
  • Other duties and responsibilities as assigned by leadership.

ARIZONA MAJOR EVENTS HOST COMMITTEE
Position Description

Manager, Volunteers

Duration:

Through April 30, 2024

Reports To:

Head of Social Responsibility & Volunteers

Job Summary:

The Manager, Volunteers will develop, manage, and execute the volunteer program for all aspects of the NCAA Men’s Final Four to drive success for the Arizona Major Events Host Committee. This role will execute the volunteer program agenda that will enhance the fan experience and leave a positive legacy on the state.

Job Duties:

  1. Volunteer Program
    • Develop and execute volunteer plan for the year leading up to and surrounding the NCAA Men’s Final Four, to meet and exceed Host Committee expectations.
    • Prepare recruitment, training, vetting and deployment plans for volunteer force of ~2,500 individuals.
    • Identify, recommend, procure, and implement volunteer software program to maximize efficiency.
    • Maintain a good understanding of the ongoing volunteer needs for various events (NCAA & Host Committee events) throughout the year.
    • Develop and implement volunteer training program, incorporating homeless and human trafficking content.
    • Help plan and execute volunteer apparel program, working collaboratively with NCAA.
    • Understand the needs of the NCAA and assist in sourcing local staffing needs.
    • Work collaboratively with the NCAA (when needed) on items related to the Men’s Final Four volunteer program.
    • Additional duties as assigned.
  2. Host Committee
    • Assist in managing volunteer budget with the overarching goal of meeting budget targets or achieving savings.
    • Collaborate with all Host Committee departments on volunteer program development, communications, and partner inclusion.
    • Create thorough volunteer program tracking reports.
    • Consistently adopt and implement the Host Committee brand and culture goals throughout the volunteer program.

Competencies:

  • Experience leading, planning and executing volunteer programs for large-scale, major brand events & enterprises.
  • Strong relationship, budget management and project management skills.
  • Ability to effectively prioritize tasks and challenges in a highly dynamic, fast-paced and fluid environment, while remaining productive and professional.
  • Demonstrates ability to be proactive, solutions-oriented and respond quickly and succinctly to audibles.
  • Ability to collaborate with staff across Host Committee disciplines to best accomplish goals of the Committee.
  • Strong problem solving and organizational skills.

  • Proficient in Microsoft Office.
  • Ability to work early mornings, evenings, weekends, and some holidays.
